Appointment screen

Guidance on the Appointment screen within the Smart Notes application.

When accessing the Smart Notes Application, users will first enter the Appointment Screen. This screen displays appointment information pulled directly from the Rio Clinical Diary.

Items displayed on the Appointment screen

The Appointment screen includes items listed in the below table.

Item

Description

Date

Displays the date of the listed appointments. This defaults to todayโ€™s date but can be changed by tapping the field and selecting a new date from the calendar view.

Number of Appointments

Shows the total number of appointments scheduled for the selected date.

Appointment list

Displays all patients with appointments for the chosen day. Each entry includes:

  • Appointment time

  • Client name

  • Date of birth

  • Consultation medium

  • Appointment status

Appointments tab

Available across all screens. Returns the user to the Appointment screen.

Ward list tab

Visible across all screens, but functionality is currently unavailable.


Recorded appointment status

The recorded appointment status indicates the progress or required user action for each appointment recording. This helps users quickly identify appointments needing attention.

๐Ÿ“ŒNote: The appointment status requires a manual refresh to update.

The recorded appointment status are as follows:

Status

Description

The recorded appointment has been uploaded to the AI service and is currently being transcribed or summarised. No action is required at this stage.

The AI summarisation is complete and ready for the user to review and/or edit before submitting to Rio.

Audio has been recorded, but no template has been selected or submitted to the AI services. This also appears for offline recordings. User must select a template and submit.

The audio file failed to be transcribed or summarised.

The audio has been transcribed, summarised, reviewed, and successfully submitted to Rio. No further action is required. The audio has been deleted.
