Recording an appointment

This article details information on how to record an appointment.

Appointments are recorded from the appointment details screen.

šŸ“ŒNote: We do not currently support the recording of appointments with multiple clients.


How to record an appointment

  1. From the appointment details screen, tap the record icon.

  2. The Patient Consent pop up appears.

  3. Choose one of the following:

    • Start recording: The patient consents to being recorded.

    • Record without patient present: Use this if the patient does not consent or recording during the appointment is inappropriate. Enables dictation once the patient has left.

    • Cancel: Returns you to the Appointment List screen.

  4. After choosing one of the options, tap the record icon again to start recording.

āš ļøImportant:

• Do not lock your phone or leave the app while recording.
• Smart Notes will temporarily disable your device’s auto‑lock to avoid interruptions.


Recording screen overview

Client details remain visible at the top of the screen, same functionality as the appointment details view. The recording options available are explained below.

Options

Description

Delete

Deletes the current recording, only available when paused. A confirmation pop‑up appears. If confirmed, the Patient Consent pop‑up will appear before re‑recording.

Deletion confirmation:

Reset

Restarts the recording from the beginning. A confirmation pop‑up appears. Once confirmed, recording restarts immediately.

Reset confirmation:

Finish and Transcribe

Ends the recording and opens the Summary template screen.

Pause

Pauses the recording so you can resume when needed.


Finish the recording

  1. Once complete, tap Finish and Transcribe.

  2. The Summary template screen appears.


Working offline

  • When offline, you cannot review the summary.

  • The recording is saved and will be processed once you regain connection.

  • After returning online, revisit the appointment to complete the review process.

You may tap the appointment button at any time to return to the appointment list and begin recording new appointments.
